Student Information

– name
– date of birth
– parent/guardian names
– contact details
– emergency contacts
– medical information (allergies, injuries, relevant health needs)
– photo/video permissions
– attendance records
– class enrolment details

Parent/Guardian Information

– names
– phone numbers
– email addresses
– payment information (where applicable)

Staff Information

– contact details
– DBS documentation
– qualifications & training
– payroll details (where applicable)

3. Why We Collect Personal Data

We collect data in order to:

– deliver safe dance classes
– contact parents in emergencies
– manage enrolments and registers
– ensure medical and safeguarding needs are met
– organise shows, competitions and events
– share essential updates about classes
– comply with legal, safeguarding and insurance requirements

We only collect information that is necessary for the safe and effective running of the school.

4. How We Store and Protect Data

We take data protection seriously.
All personal data is:

– stored securely in password-protected systems or locked storage
– only accessible to authorised staff
– never shared outside the organisation unless required for safeguarding or legal reasons
– kept no longer than necessary

We use secure systems for email, registration, communication and payment processing.

Personal data is never shared with third parties for marketing or unrelated purposes.

– required for safeguarding or child protection
– needed for medical emergencies

– parents/guardians have given explicit consent

– student records: kept while attending + a short period after leaving
– safeguarding records: kept in line with statutory guidance
– financial records: retained to meet HMRC and accounting requirements
– incident/accident forms: retained in accordance with health & safety law

Once no longer required, data is securely deleted or shredded.

9. Your Rights (Parents, Students & Staff)

Individuals have the right to:

– access their personal data
– request corrections
– request deletion (where legally permissible)
– object to certain processing
– withdraw consent
– request a copy of the information held

Requests can be made via email and will be responded to within one month.

10. Data Breaches

If a data breach occurs that risks the rights or freedoms of individuals, we will:

– notify affected individuals
– take immediate steps to secure data
– report the breach to the ICO where required
